Please do not swap your allocated pitch, unless discussed with one of our team
Please fix nothing to the walls or paintwork with any sort of fixing material – tape, blue tack etc. It is not a problem to put items for sale on the wooden ledge, providing they do not cause damage.
Please ensure you are ready for the doors open time making sure you are not blocking any exits or walkways
Please do not pack away until the finish time/last customer has left, unless advised by a team member.
Our craft fairs are self promoting, we ask that all stall holders promote and share the event from our Facebook Page, inviting their followers to attend.
TERMS AND CONDITIONS AND CONTRACT OF HIRE
This agreement between the LCAR Ltd and the hirer creates a ‘business service contract’ whereby LCAR Ltd makes premises goods and services available to the hirer in return for payment where applicable. By booking with LCAR Ltd you are agreeing to the terms and conditions below.
Market
By booking onto an event at Crafting at the Lincoln County Assembly Rooms (LCAR), you are accepting the following Terms and conditions. Please note that these will be reviewed and updated where needed regularly. It is down to each trader to keep up to date with these terms and conditions via the booking link.
Booking
1. An up to date copy of your current Public Liability Insurance should be sent to ed@countyassemblyrooms.co.uk before booking for the first time. Please send updated copies as and when you renew.
2. All Bookings are to be made using the links provided. The link is not to be shared with anyone. Please forward any enquiries to ed@countyassemblyrooms.co.uk . Bookings close two weeks before the event.
3. LCAR does not guarantee a space, however, they will try and accommodate where possible. An email will be sent out the week of the event to confirm your place.
4. If it becomes necessary, Crafting at LCAR will set up a booking rotation system. Please note, this will only happen if the events reach capacity. Crafting at LCAR will notify you of any changes as soon as possible.
5. Each stall holder will get 1 x 6ft table. Extra tables must be asked for before the event, but the final decision is at the managers discretion.
6. As we do not charge for the event, we do ask that all stall holders promote the events on social media where possible. Crafting at LCAR will do all things reasonable to advertise the event.
7. Power is charged at £5 per event. Payments should be made before the event. Email ed@countyassemblyrooms.co.uk for more details.
On the day of the event
Parking
1. Parking is on the street within the marked bays, or in one of the local carparks along Westgate. Do not park on the raised humps on the Bailgate. Please note, LCAR Ltd is not responsible for any charges relating to parking or parking tickets. It is down to the car owner to check oarking restrictions. Any items left in vehicles are the owners responsibility. This also applies when unloading and loading.
In the event of a fire.
2. If discovered raise the alarm.
3. Proceed to exits – If the fire is in the front of the building, please exit via the rear doors of the room. If the fire is in the rear if the building, please exit via the front of the building.
4. Do not run and listen to the fire marshals. Do not take belongings with you or attempt to return into the building.
5. The muster point is St. Pauls Church – The open area next to Elite Fish & Chips.
Arrival and set up.
6. Please sign in with the Assembly Rooms staff member organising the market.
7. Arrival is from 9.30. You can access the building via the disabled entrance. This is the flat ramp to the right of the main doors.
8. You must be set up, with public areas and aisles cleared, by 11 am.
9. Tables are assigned before the day. Stall holders are not to change the layout. Any changes are at the discretion of the management.*
10. If you are running late on the day, please contact Crafting at LCAR via the details in the arrival email.
11. Your stalls are your responsibility. Please make sure that all items are secure and safe, and not a hazard to the general public. Crafting at LCAR accepts not responsibility for loss or damages.
12. We kindly ask that no one is to use Sellotape, gaffa tape, blue tac, or any other sticky materials on the walls and doors etc. The LCAR is a Grade 2* listed building and can face fines for damage caused by such materials.
13. We ask that no paint is used in on the day crafting. Please ask for further details.
14. Power is available, and there is a £5 charge for this.
15. Stall holders can use available shelves behind stalls where available, but please be careful not to damage the paintwork. The LCAR is a Grade 2* listed building and can face fines for damages to the building.
16. No trailing cables in the walkways.
17. No food and drinks from Greggs please. We offer a discount to all stall holders at the bar, and the income made helps keep the event free.
18. Verbal & physical abuse will not be tolerated. Anyone found to be doing so will be asked to leave, with all future bookings cancelled.
*For paid events, spaces can be requested, but are not guaranteed by the venue. Any change of spaces in the day must be agreed with the Market Manager. The venue reserves the right to refuse any stall move on the day.
Food Stalls
1. Please send us all food compliance certificates with your booking form.
2. Please use cough and sneeze guards.
3. Please be aware that LCAR is a dog friendly establishment.
End of the event.
1. We ask that stall holders do not pack away before the end of the event, as this sends out the wrong message. We wait for the last customer to leave before packing away. Early finishes are at the discretion of the management.
2. Please take any rubbish out of the building with you.
3. Please take care to park carefully when loading at the end of the day. Please be respectful of Assembly Rooms staff, other stall holders and members of the public.
4. Don’t forget to sign out.
Please note, LCAR Ltd. takes a zero tollerance stance when dealing with abuse towards staff and public. Anyone found to be abusive will be asked to leave the venue immeadietly. You will also be barred from the venue going forwards.
Terms:
The ‘hirer’ the person who hires ‘applicant(s). The organisation, person(s) agreeing and accepting responsibility for the payment for the hire of the space, be it hired or not, and the supply of goods and services from the ‘hirer’ more specifically stated in agreements via email, voicemail or in writing and evidenced by ‘invoice’.
Applicants hiring the premises must complete and sign the Booking Form and these Terms and Conditions of Hire. The person signing the Booking Form is considered the hirer.
Payments
Venue Hire Fees are non-refundable. A payment towards the Venue Hire Fee secures the booking, with the balance payable within one calendar month of the booking. After receipt of the Venue Hire Fee the following payments will become due in settlement of your account.
6 months before the event 40% of the estimated total
1 month before the event 100% of the total is due,
Additional items arranged after the invoice must be paid prior to the day of the event. Arrangement may be varied only at the absolute discretion of the Directors and confirmed in writing by LCAR Ltd.
CANCELLATION TERMS AND CONDITIONS FOR PAID EVENTS
Acceptance and confirmation of your booking for paid events creates a legally binding contract. If you have to cancel your booking, a cancellation charge is outlined as below;
120-90 days prior to the event – 20% of the agreed minimum spend
89-60 days prior to the event – 50% of the agreed minimum spend
59-30 days prior to the event – 75% of the agreed minimum spend
Less than 29 days prior to the event 90% of the agreed minimum spend
Less than 14 days prior to the event – Full minimum spend will be invoiced to the client.
We recommend that you take out personal Insurance to cover your financial risk.
COMPANY LIABILTY
LCAR Ltd accepts no responsibility for loss or damage whatever the nature to the property and belongings of the hirer and his/her guests, caused by the hirer and his/her guests and limit their liability to losses and damage by acts, wilful or negligent caused by the employees of LCAR Ltd during the period of hire.
The Proprietors, LCAR Ltd accept no responsibility for any items, personal belongings of the hirer or their guests, or any property of whatever nature left on the premises 24 hours after the end of the hire period.
CLIENT LIABILITY
The hirer accepts responsibility and liability for the orderly conduct of their guests, and shall ensure that their behaviour does not cause a breach of the law. The hirer shall reimburse LCAR Ltd for any costs incurred through wilful or negligent damage to the premises and this includes the depositing of chewing gum on any of the furniture, fixtures and fittings and table ware, its decoration and contents caused by the hirer or their guests. The hirer is strongly recommended to appoint a responsible person to act as your contact with the management of The County Assembly Rooms. It is desirable to ensure the uninterrupted enjoyment of your event. All clients should understand that they should affect suitable Insurance to cover any losses however caused by the cancellation of or any contractual breach that would cause them financial loss.
SMOKING
Smoking including the use of vapour synthetic cigarettes is prohibited within the whole of The County Assembly Rooms in accordance with the Law on smoking in public places and the hirer is responsible for ensuring that the government smoking ban is strictly adhered to by their guests. LCAR Ltd reserves the right to require the removal of any person breaching this smoking ban. Facilities are provided in the courtyard to the rear of the property. No smoking or drinking is permitted at the front entrance or the adjacent pavement to the frontage.
DRUGS
The use of any drugs, other than prescription drugs are expressly banned.
ALCOHOL AND OUR LICENCE
It is the duty of all persons booking these rooms to ensure that no Alcohol or Glasses are taken outside the front of the building. The use of the pavement for drinking is prohibited by law and breach of this is punishable by a fine. No alcohol is to be consumed in the building or courtyard unless it has been purchased at the County Assembly Rooms bar, this includes gifts and prizes of alcohol for your guests. Bar tabs that are not pre-arranged will only be authorised when supported with a deposited credit card which will be swiped for £1.00 to validate the card, and deducted from the final bill.
DATA PROTECTION
Under the General Data Protection Regulations (GDPR) you have rights and protections for the information we hold about you.
1. This information is held securely
2. No information about you or your business is ever passed onto anyone without your express permission in writing.
3. All information held by LCAR Ltd in connection with an event or enquiry for an event will be destroyed immediately after the event has taken place or your enquiry has ceased.
This law does not include any information we are required to hold for a longer period required by law.
This contract includes any additional requirements agreed between the parties and confirmed in writing.
